Field service invoicing

Bill for what was actually used, the day the job closes.

In short

F1 Agent Invoicing is the billing stage of F1 Agent Field Service on Salesforce. It raises an invoice from the products consumed on a service job, as confirmed by the technician at check-out, according to your business process.

Invoices can be shared with the customer through the Salesforce-based workflow. Because consumption, inventory movement and billing sit on the same job record, service teams can see the revenue and the parts cost of every visit without rebuilding what happened on site.

Where service revenue leaks

The job ended on Tuesday. The invoice is still being pieced together.

In most service businesses, the person who bills was not at the job. They reconstruct it from a job sheet photo, a WhatsApp message and a phone call to the technician, who has done six jobs since. Every step of that relay loses something.

Day 0

Job completed

Paper job sheet signed, extra part fitted.

Day 2

Sheet reaches office

Photo is blurry; extra part not written down.

Day 4

Billing calls technician

He remembers "something about a motor".

Day 6

Invoice sent

Without the motor. Customer disputes the visit charge.

Unbilled parts

Additional parts fitted on site that never reach the invoice.

Slow cash

Days between job completion and invoice add up across hundreds of jobs.

Disputes

Invoices that don't match what the customer saw lead to calls and credit notes.

Unknown margin

Nobody can say what a job type really costs to deliver.

The principle behind accurate service billing

The invoice should be a by-product of the job record, not a separate project.

If the technician's confirmation of what was used is accurate, three things follow from the same data: inventory moves, the invoice is raised and the job's cost is known. If billing has its own version of the truth, all three drift apart. The fix is not a better billing tool. It is one source of truth at check-out.

One source of truth

Products consumed

Service job · technician · product · quantity

Inventory

Van stock decreases with a transaction record.

Invoice

Raised from the same lines and shared with the customer.

Cost and margin

Parts cost of each job, by work type and technician.

How to tell if your billing is drifting from the field

Invoices take more than a day

Someone is reconstructing the job.

Stock counts never match

Parts are leaving without being billed.

Credit notes are routine

Invoices do not match what customers saw.

No one knows job-type margin

Revenue and cost live in different systems.

How F1 Agent invoicing works

Check-out to customer inbox, without retyping a line.

1

Technician · mobile app

Confirm parts at check-out

The technician confirms the products actually used, explains any planned part not used and adds parts fitted on site.

2

F1 Agent

Record products consumed

Consumption is recorded against the work order: job, technician, product and quantity. Van stock is reduced with a product transaction.

3

F1 Agent

Close the case

The work order completes and the customer’s case moves to Resolved.

4

Service or billing team

Raise the invoice

The invoice is raised from products consumed according to your business process, with no reconstruction of the visit.

5

Customer

Share the invoice

The invoice is shared with the customer through the Salesforce-based workflow, completing the service lifecycle.

Invoice from products consumed

What it is: the invoice is raised from the job's products consumed and your business process. Problem solved: billing no longer reconstructs the visit. Outcome: faster, more accurate invoices.

Share with the customer

What it is: invoices are shared through the Salesforce-based workflow. Problem solved: no separate emailing from personal inboxes. Outcome: a documented, consistent close to every job.

Revenue and cost on one record

What it is: billing sits beside consumption and inventory movement. Problem solved: service margin is invisible. Outcome: know what each job type earns and costs.

Use cases

Who gets the most out of field-driven billing.

Appliances and electronics

Out-of-warranty home repairs

Problem: Hundreds of small invoices a week, each typed from a job sheet; extra parts often missed.

With F1 Agent: Invoices raised from check-out data, including parts added on site, and shared with the customer the same day.

Faster billing and fewer disputes.

Equipment and machinery

Costly repairs with many parts

Problem: A single repair can involve a dozen components; missing one costs more than the labour.

With F1 Agent: Every product consumed is captured against the work order, so the invoice reflects the full repair.

Parts revenue no longer leaks.

Medical equipment

Contract and chargeable work

Problem: Some parts are covered by a contract, others are chargeable, and the split is decided after the visit.

With F1 Agent: Products consumed give billing an exact list to apply the contract rules to.

Clean, explainable invoices.

A careful rollout

Run it alongside your current billing first.

FAQ

Questions about service invoicing.

How does F1 Agent create a service invoice?

Based on the products consumed on a job and your applicable business process, an invoice is raised without the service team having to reconstruct what happened during the visit.

Where does the list of products on the invoice come from?

From the technician’s check-out in the F1 Agent app. The technician confirms the products actually used, including any additional parts, and these are recorded as products consumed.

Can we share invoices with customers from Salesforce?

Yes. Invoices can be shared with the customer through the Salesforce-based workflow.

What if the technician used a part that was not planned?

The technician adds it at check-out. It becomes part of products consumed and can be included on the invoice.

What if a planned part was not used?

The technician records that it was not used and can be required to give a reason, so it is not billed and the stock stays accurate.

Does F1 Agent replace our accounting system?

No. F1 Agent produces accurate service invoices from field data inside Salesforce. Most companies keep their finance or ERP system for accounting.

Can we see the cost of each service job?

Products consumed, inventory movement and the invoice sit on the same job record, which connects service revenue with parts cost.

How do taxes and pricing work?

Pricing and invoice rules follow the business process you configure in your Salesforce org during onboarding.

How should we introduce F1 Agent invoicing?

Run it in parallel with your current billing for one team, compare results, then switch over once you are confident in the numbers.
