Attendance and Live Tracking

See the field day while you can still change it.

One tap punch in, travel mode and odometer scan for the rep. A live view of who is present, absent, moving, stuck or disconnected for the manager. All of it tied to the visits, territories and expenses already in Salesforce.

In short

F1 Agent Attendance and Live Tracking is a Salesforce-native module that records when field employees start work, how they travel and where they go during the day. Reps punch in from the mobile app, choose a configured travel mode and scan their odometer if they use their own vehicle.

Managers get a Today's Overview console showing who is present, absent or disconnected, each rep's live route, and alerts when someone stays stationary for an unusual time. Distance can be calculated from the odometer, from Google mapped routes or the lower of the two, and feeds automatic travel expense.

The real problem

You find out at 7 PM what went wrong at 11 AM.

Field attendance is usually an HR record: present or absent. It says nothing about whether the day is going to plan, and it arrives too late for anyone to help.

"Present"

is not the same as working

A register or selfie app tells you someone logged in. It does not tell you when the first visit started, how many hours were spent with customers or how many of the planned visits happened.

78 km

claimed, 62 km driven

Without a second measurement, every travel claim is taken on trust. Small gaps across hundreds of reps and twelve months add up to a real line in the P&L.

2 hrs

stuck, and nobody knew

A breakdown, a long meeting, a customer bottleneck or just a stalled day. All look the same on a report you read tomorrow. Only a live signal gives the manager a chance to step in.

What most companies get wrong

A dot on a map is not information. Context is.

Tracking projects fail when they become surveillance. Reps resent it, managers drown in pins, and nothing improves. Location only becomes useful when it is joined to the customer, the visit and the plan.

Tracking without context

  • Rahul is at 28.5355, 77.2410.
  • Is that a customer? A tea stall? Home?
  • Is he ahead of plan or behind it?
  • Should anyone do anything about it?

Visit 3 · Lajpat Nagar MartChecked in 22 min
5 visits remainingOn plan
  • Rahul is checked in at a planned customer, third of eight.
  • Two visits done, one order, one return.
  • 34 km travelled against a 41 km optimized route.
  • No action needed. The console only flags exceptions.

Track exceptions, not people

Good field visibility shows managers the 5% that need attention: disconnected, stationary, absent. The rest stays quiet.

Measure distance twice

An odometer reading and a mapped route are independent. Comparing them is fairer to reps and to finance than trusting either alone.

Let the policy decide

Travel modes, who can use them and how distance is reimbursed should be your configuration, not the vendor's default.

How it works

From punch in to punch out, every step connected.

01

Punch in

Start time and location recorded in one tap.

02

Travel mode

Only the modes allowed for this user, role or profile.

03

Odometer scan

Captured from a photo, not typed, for own vehicle trips.

04

Live route

Movement between planned customers, visible to the manager.

05

Alerts

Stagnation and disconnection surface while they matter.

06

Punch out

Hours, visits, distance and travel expense calculated.

Odometer or mapped distance. Or the lower of the two.

What it is. When a rep uses their own vehicle, F1 Agent records distance two ways: the odometer readings they scan at start and end, and the Google API distance of the route they actually travelled.

Why it matters. Some companies trust the odometer. Others want the mapped route. Many want the lower of the two. You choose per policy, and travel expense is calculated automatically.

Configurable travel modes

Own vehicle, public transport, travelling with another person, or modes you define. Assign which modes each user, role or profile can pick, with a default for everyone else. The choice drives how their travel is reimbursed.

Stagnation detection

When a rep stays in one place for an unusual time, the manager is alerted. It might be a vehicle problem, a long meeting or a customer bottleneck. The point is to find out while a phone call can still rescue the day.

Today's Overview

A control layer, not a passive dashboard.

Every user falls into present, absent or disconnected. Disconnected means F1 Agent is not receiving location, and the console shows why: no internet, location services off or another device issue. One tap sends the rep an alert to get live again.

  • Start time, hours worked and distance for every rep
  • Visits assigned versus completed, live
  • Route travelled during the day on a map
  • Reports and dashboards on attendance trends

Use cases

Three situations attendance alone never solved.

The two-hour silence

SituationA rep's bike breaks down between visits two and three. He sorts it out alone and loses the afternoon.

With F1 AgentStagnation alert after 40 minutes. The manager calls, moves three visits to a colleague nearby.

OutcomeCustomers still visited, day recovered.

The travel claim argument

SituationFinance questions every fuel claim. Reps feel accused, managers spend Fridays checking numbers.

With F1 AgentOdometer scan plus mapped distance, policy set to the lower of the two, expense created automatically.

OutcomeNo disputes. The rule is visible to everyone.

The convenient dead zone

SituationA few reps go "offline" every afternoon. Nobody can tell a weak network from switched off location.

With F1 AgentDisconnected status shows the reason. The manager sends an in-app alert to reconnect.

OutcomeReal network gaps handled, habits corrected.

Industries

Why F1 Agent

Visibility your reps can accept and your finance team can trust.

Attendance and tracking are only one part of F1 Agent. They exist to feed visits, routes and expenses, which is why the same data that tells a manager where a rep is also pays that rep correctly. Built by Cloud Ingenious, a Salesforce Summit Partner.

Start with one team

Pilot attendance and tracking in one territory and compare claims and coverage with the rest.

Your travel policy, configured

Modes, allocation and reimbursement method set to how you already pay people.

Runs in your existing org

Users, roles and territories already in Salesforce are reused.

Add modules when ready

Visits, routes and expenses plug into the same data later.

FAQ

Attendance and tracking questions.

How does field attendance work in F1 Agent?

The rep taps Punch In on the mobile app at the start of the day, selects a travel mode and, for own vehicle travel, scans the odometer. F1 Agent then connects that attendance to hours worked, visits assigned and completed, and distance travelled.

Can we define our own travel modes?

Yes. Travel modes are configurable, and you control which modes are available by individual user, role, profile or a default for all applicable users.

How is travel distance calculated?

Two ways: from scanned odometer readings and from Google API mapped distance of the route. Your policy decides whether to reimburse the odometer distance, the mapped distance or the lower of the two.

What is stagnation detection?

F1 Agent detects when a rep has stayed at one location for an unusual period and surfaces it to the manager, so they can check whether there is a vehicle problem, a long meeting or a stalled day while there is still time to help.

What does "disconnected" mean on the console?

It means F1 Agent is not receiving live location from that rep, for example because internet is unavailable or location services are off. The console shows the reason where available, and the manager can send an alert asking the rep to get live again.

Is location tracked outside working hours?

Live tracking is designed around the working day that begins with punch in. We will walk through how tracking windows are configured for your organisation during setup.

Does attendance data appear in Salesforce reports?

Yes. Attendance, visits and travel are stored in Salesforce, so you can report on them with standard reports and dashboards alongside rep performance and expenses.

Can reps see their own data?

Yes. The mobile app includes a personal performance dashboard, trip information, visits and a leaderboard, so reps do not depend on a manager to know how they are doing.

Can we use attendance without the other modules?

You can start with it, but its value grows quickly once visits and expenses are added, because location then has a customer and a claim attached to it.
