Expense Management
Your expense policy, enforced at the moment of the claim.
City tier rates, local and outstation rules, hard and soft limits, AI that reads the bill, travel calculated from the distance actually driven, and approvals that talk back. Field expenses that follow your rules before anyone has to check them.

In short
F1 Agent Expense Management is a Salesforce-native expense framework for field teams that applies company policy at the time a claim is made. Admins configure expense categories, territory and city tier rates, local and outstation rules, limits by user, role or profile, expense buckets and hard or soft limits.
Employees capture bills on mobile and AI extracts the date and amount. Travel expense is calculated automatically from the configured distance method. Managers approve, reject or request changes with comments, and employees reply in the app, so every claim is resolved in one place.
The real problem
Every month, three people argue about a ₹600 dinner.
Field expenses are high in volume and low in value per claim, which is exactly why they are hard to control. Checking each one costs more than the claim. Not checking them costs more than everyone thinks.
The rep
"I spend Sunday typing bills into a sheet and still get questioned."
Manual entry, unclear limits, reimbursement weeks late.
The manager
"I approve claims I cannot verify, or I reject and lose a week to calls."
No link between the claim, the route and the visit.
Finance
"Our policy is twelve pages. Nobody applies it the same way twice."
City tiers, outstation rates and role limits enforced by memory.
What most companies get wrong
Checking claims after submission is the most expensive way to enforce policy.
If the rule is applied at review, every claim needs a reviewer. If the rule is applied at entry, only the exceptions do. The goal is not to block legitimate spend. It is to make the normal case automatic and the unusual case visible.
One amount for everyone is unfair
A hotel in Mumbai and a hotel in a tier 3 town cost differently. Policy should know where the employee is.
Hard limits for hard rules
Some caps are non-negotiable. The app should simply not accept a ₹3,000 claim against a ₹2,000 limit.
Soft limits for real life
Legitimate exceptions happen. Let the employee submit with a reason and route it to the manager for scrutiny.
Turn your policy document into rules
Send us your current travel and expense policy. We will show how each clause maps to categories, tiers, limits and buckets in F1 Agent.
How policies work
Six layers of rules, configured once, applied to every claim.
Categories
Travel, food, hotel, local allowance, outstation allowance and your own.
Territory and city tier
Higher hotel allowance in Tier 1 than in smaller towns.
Local or outstation
Different structures inside and outside the home territory.
Who it applies to
Limits by individual user, role, profile, or a default for everyone.
Expense bucket
The total amount available to a user for claims, controlled per policy.
Hard or soft limit
Block above the threshold, or allow with a reason and route for approval.
Example: daily limits for Area Sales Manager role
Illustrative configuration. Your values replace these.
| Category | Tier 1 | Tier 2 | Tier 3 | Limit type |
|---|---|---|---|---|
| Hotel · outstation | ₹4,000 | ₹3,000 | ₹2,000 | Soft |
| Food · outstation | ₹900 | ₹750 | ₹600 | Soft |
| Food · local | ₹400 | ₹350 | ₹300 | Hard |
| Local allowance | ₹300 | ₹250 | ₹200 | Hard |
| Travel · own vehicle | ₹[rate] / km · lower of odometer and mapped | Auto | ||
The claim, start to finish
From a crumpled bill to an approved claim, without a phone call.
Snap the bill
AI reads date and amount and fills the fields.
Policy check
Category, tier, local or outstation, role limit and bucket applied instantly.
Submit or flag
Within policy flows. Soft exceptions need a reason. Hard limits stop the claim.
Two-way approval
Manager approves or requests changes with a comment. Employee replies in the app.
Reported
Expenses by rep, territory and category in Salesforce dashboards.
Approval that talks back
Instead of a blunt reject, the manager requests changes with a comment. The rep sees it on mobile and responds. The whole conversation stays on the claim.
Travel expense that writes itself
Travel claims are calculated automatically from the travel mode and distance captured during the day. Choose odometer distance, Google mapped distance or the lower of the two. Reps stop calculating kilometres by hand.
Reimbursed: 62 km under "lower of two" policy
Use cases
Policies that match how your people actually travel.
National team, one policy, many cities
Situation: 400 reps across metros and small towns, one flat hotel limit nobody respects. With F1 Agent: city tier rates by role, soft limits on hotels, hard limits on daily allowances. Outcome: fewer exceptions, and the ones left are genuine.
Month-end claim pile-up
Situation: reps submit a month of bills on the 30th, managers approve in bulk without looking. With F1 Agent: AI bill capture on the day, auto travel expense, daily approval queue. Outcome: claims processed as they happen, reimbursement faster.
Seniority-based entitlements
Situation: regional managers and new reps have different entitlements, tracked in a spreadsheet. With F1 Agent: limits and buckets by role and profile, with individual overrides. Outcome: the right limit applies automatically to each person.
Industries
Different spend patterns, same discipline.
FMCG and consumer goods
Huge volumes of small local claims: fuel, food, allowances. Auto travel expense and hard daily limits remove most of the manual work.
Distribution
Longer dealer routes and frequent outstation days. Local versus outstation rules and odometer verification carry the most value.
Equipment and field service teams
Multi-day tours with hotels in many city tiers. Tier-based hotel limits with soft exceptions keep tours flexible and claims fair.

Why F1 Agent
The only expense tool that knows where your rep actually went.
Because expenses live in the same Salesforce-native platform as attendance, routes and visits, every claim has context. Built by Cloud Ingenious, a Salesforce Summit Partner.
Run an expense pilot for one region- Start with one region and compare claim values and approval times.
- Your policy, not ours. Categories, tiers and limits configured to your current document.
- Soft limits first if you want to observe before you block.
- Runs in your existing Salesforce org, using your users, roles and profiles.
"The policy used to live in a PDF. Now it lives in the app. Reps know their limit before they spend, and my team only looks at the exceptions."
FAQ
Expense questions, answered.
What expense categories can we set up?
Any categories your business needs, such as travel, food, hotels, local allowances and outstation allowances, each with its own rules.
Can limits vary by city tier?
Yes. F1 Agent supports territory and city tier based expense structures, for example a higher hotel allowance in a Tier 1 city than in a smaller location.
What is the difference between a hard and a soft limit?
A hard limit prevents the employee from submitting an amount above the threshold. A soft limit allows the submission, but the exception becomes visible, the manager can be notified and it goes through the approval workflow.
Can different roles have different limits?
Yes. Limits can be applied to an individual user, a role, a profile, or as a default for all applicable users.
What is an expense bucket?
An amount made available to a user for claims. The system can prevent or control claims beyond the bucket according to your policy.
How does AI bill capture work?
The employee photographs or uploads the bill. AI reads it, extracts values such as the expense date and amount, and fills the expense fields automatically.
How is travel expense calculated?
Automatically, from the travel mode and the distance methodology you configure: odometer distance, Google API mapped distance or the lower of the two.
What happens when a manager disagrees with a claim?
The manager can request changes and add comments explaining what needs correcting. The comments appear in the rep's mobile app, the rep can respond, and the conversation stays with the claim.
Does it handle local versus outstation rules?
Yes. Travel within the home territory can follow one reimbursement structure and travel outside the base area another.
Can we report on expenses in Salesforce?
Yes. Expenses are Salesforce records, so you can report by rep, territory, category and period alongside visits and attendance.
